Is Data Backup Software Truly Necessary?

ByRob D. Schumann

You might think that in today's high-tech world that you wouldn't have to tell your staff to be careful downloading applications or that they shouldn't open e-mails from people that they don't know, but the truth is that even the best of us are known to do some pretty stupid things online. That is why having data backup software that you can trust is so important.

When you are deciding on which data backup software package to buy for your company, there are a few different things that you should look for:

1. Is it designed for the size of your network? You can actually have too much software (or too little, for that matter), and having a program that is designed for a network of your size will help you get the most out of it.

2. Is it easy to install? Many companies have been caught with their server down and data backup software that they never got around to installing. A backup that you can't install or that is too difficult to run will never be of any use to you.

3. How easy is it to recover data? When your system is down and you need to recover either your entire network or just a few files, you will be under a lot of pressure, and that is why having a product that is easy to recover with is vitally important. Hopefully, there is more than one person in your organization who is skilled enough to use it.

4. Will the software be updated? We have all worked our way through several versions of Windows by now, and it is good to work with a data backup software program that will continue to be updated.

5. Can you restore your entire network to a brand new drive? When you have catastrophic damage to your building or your computers, whether it is a flood or fire, a power surge, or a burglary, you might end up having to install all of your information to a new box. Being able to do this is extremely important, and being able to do it quickly is even more important.

6. Finally, you should keep in mind that you may have to recover your data from a remote location, especially if your entire network or building is inaccessible. Therefore, make sure that your data backup software has remote or Internet access and that you can perform all administrative functions from a remote location.

The truth is that not all data backup software is even close to the same, and although you may be paying for a high-price, big-name package, you might not be getting the level of functionality that you really need. Alternatively, if you buy a very cheap program, you might not get all that is necessary to recover your documents. Therefore, before you make your purchase, make sure that the program you buy has all of the functionality as described above and fits the way your company does business.
